By hiring our services, you agree that you have accepted these terms, which comprise of the following:
“Applicant” means the person or corporate body granted license to utilize any ‘Rental Space’ or hiring Consulting Services as defined herein;
“Facilities” means the common spaces of the premises including but not limited to the bathrooms, hallways, stairwell;
“Rental Space” means the board room, private office, shared office unless specified otherwise.
Article I. BOOKINGS
Section I.01 AGE
(a) The minimum age of the applicant is 18 years of age when no alcohol is being served. When alcohol is being served the minimum age of the applicant is 21 years of age.
Section I.02 REQUEST FOR INFORMATION FOR RENTING
(a) Requests must be submitted at least: 24 hours in advance for any Rental Space, at the beginning of the month, or end of previous month for shared office and private office. Consulting requires an advanced notice of 48 hours. Reservations may be made up to one (1) calendar year in advance.
(b) The use of the space may begin any time after 9:00am. Business should conclude 15 minutes prior to 8:00pm.
(c) Rental space applicant(s) and guest(s) of applicant(s) must depart the room at or before the indicated end date and time stated in the agreement.
(d) All Consultancy House spaces are booked only for the times indicated on their online booking. All bookings for the Rental Spaces must allow time for set-up and clean up within the booked time.
(e) Bookings of Rental Spaces are not confirmed or guaranteed until Consultancy House has a copy of signed agreement and/or deposit and/or payment is received.
(f) Consultancy House reserves the right to set additional conditions for use of the space prior to approval of the booking.
Section I.03 AVAILABILITIES
(a) Rental Space bookings are available on a first come, first serve basis. To check for room availability and to submit rental request, applicant can call Consultancy House at 1.441.400.5034 or visit Consultancy House’s website (www.consultancy.house).
(b) Boardrooms can be booked Mondays, Wednesdays, Fridays and Sundays from 9:00am - 8:00pm. (Bookings of boardroom are not available on: Veterans Day, Thanksgiving Day, Christmas Eve, Christmas Day, Boxing Day, and New Year’s Day or any other national Holiday.
(c) Shared office space can be booked and used on Tuesdays and Thursdays from 9am - 5pm and Saturdays from 9am - 8pm, unless specified otherwise. Shared office spaces are available on: Veterans Day, Thanksgiving Day and the day after, Christmas Eve, Christmas Day, Boxing Day, and New Year’s Day with the exception of the board room unless specified otherwise.
Article II. PAYMENT
Section II.01 CONFIRMED BOOKING
(a) Reservations are not held without full payment.
(b) Boardroom: Must be paid in full, at the latest 12 hours in advance of Boardroom Booking. If paid by check, fees and deposit must be paid separately.
(c) Shared Office: Must be paid in full at the latest 48 hours in advance of first day of the month. If paid by check, fees and deposit must be paid separately.
(d) Private office: Must be paid in full at the latest 48 hours in advance of first day of move in. If paid by check, fees and deposit must be paid separately.
(e) All fees for Board Room and Shared Office may be subject to change by Consultancy House, with at least 30 days written notice to the applicant.
Section II.02 DEPOSITS
(a) A credit card will be required by all applicants to secure their booking and, to serve as a damage deposit.
(c) If damages occur, the credit card will be charged as outlined in Section III.06.
(d) Accommodations may be made for alternative payment (Cash or Check) method on a case by case basis.
(e) No post-dated checks will be accepted.
Section II.03 CANCELLATION AND REFUNDS
(a) Full Refund of fees and deposits for cancelled reservations require 48 hours advance notice, or may be subject to forfeiture.
(b) Board Room: Cancellations made up to 48 hours before the booking will be charged 50% of the total booking fee. Cancellations made within 24 hours of booking will be charged 100% of the total booking fee.
(c) Consulting Cancellations made up to 48 hours before the booking will be charged 50% of the total booking fee. Cancellations made within 24 hours of booking will be charged 100% of the total booking fee.
(d) Private Office: Licensee (Applicants of private office) must provide thirty (30) Days' notice to Consultancy House if they wish to exit their contract. If less than thirty (30) days is provided to Consultancy House, applicants will be subject to administration fees.
(e) Shared Office: Licensee (Applicants of shared office) must provide fifteen (15) Days’ notice to Consultancy House if they wish to exit their contract. If less than fifteen (15) Days’ is provided to Consultancy House, applicants will be subject to administration fees.
(f) Consultancy House will refund applicants’ fees in the following cases:

(h) Consultancy House Emergency and Location Change:
(i) In case of an emergency or extraordinary schedule conflict, Consultancy House reserves the right to: change the site of the meeting to another suitable room or location. Applicants will be notified 24hrs in advance when possible.
(ii) Consultancy House reserves the right to cancel any and all rental space bookings. Notification will be given our best effort. On
rare occasions, Consultancy House meetings will take priority. In such cases, applicants will be assisted with finding other possible
(iii) If for any reason another suitable replacement is not provided. A refund will be issued to applicants within three (3) to five (5)
(i) Refunds will be returned to applicant, in the method supplied. However, if a check was supplied, the fee and deposit may be collected from the Consultancy House Administration office during regular office hours.
Section II.04 REFUSAL AND TERMINATION
(a) Consultancy House also reserves the discretionary right to refuse rental of all rental spaces.
(b) The Consultancy House will terminate any space rental booking deemed disruptive to Consultancy House operations or actions not congruent with its guidelines and policies. Any applicant or group associated with the signing applicant, asked to leave during a booking because of violations of ‘Consultancy House Rental Policy and/or Licensee Contract, or if applicant engages in any illegal activities directly or indirectly, will forfeit their rental fee and deposit.
ARTICLE III. SPACE MANAGEMENT
Section III.01 CLEANING AND MANAGEMENT
(a) The applicant agrees to assume all responsibility for the cleanliness of the booked space, returning it to the state in which it was found, unless stated otherwise.
(b) Do not remove chairs, tables, or other equipment from the building.
(c) Turn off the lights and close all windows when leaving.
(d) Shared office and private office users, must keep kitchen clean and tidy at all times, including washing and putting away dishes and removing perishable outdated food items from cupboards and fridge.
(e) All items not belonging to the Consultancy House are to be removed from the building when rental is completed.
(f) All set up and break down of tables and chairs are to be supervised by a Consultancy House Staff Member. Setup instructions must be provided a minimum of 72 hours prior to applicant's booking.
(g) Decorations, signs, etc. may not be affixed to any surface with, nails, tacks, pins. All decorations must be removed prior to the end of applicant's rental. Applicant may use fishing line, or zip ties. Failure to comply with this rule will result in forfeit of deposit.
(h) Pets are not permitted on the premises at any time.
(i) Use of candles or other flammable material is prohibited.
(j) Booked space and Facilities (i.e. bathroom, common spaces) must be kept clean. Should the room or Facilities not be left in the same condition, whereby Consultancy House has to restore it to its original condition, a cleaning fee of $50.00 will be charged to the applicant.
(k) Any items (food, products, supplies, incidental effects) that are not directly provided by the applicant are assumed to belong to Consultancy House and its staff, and are therefore inaccessible to the applicant or group associated with applicant.
(l) The applicant and guests of the applicant are asked to respect Consultancy House property.
Section III.02 FOOD AND BEVERAGE
(a) Food and beverages are permitted to be brought in by the renting applicant.
(b) Consultancy House does not provide catering services. The food vendor MUST be a Consultancy House Preferred member. (See "Consultancy House Catering List"). Applicant is responsible for their own supplies, food, drinks, etc. Food items and supplies that are in the kitchen area belong to Consultancy House and are not available for use.
(c) Coffee and tea are included in board room and shared office rental fee (includes stir sticks, cream, sugar, coffee mugs). Other supplies are the responsibility of the applicant (i.e. plates, cutlery, napkins etc.)
Section III.03 ALCOHOL AND SMOKING
(a) Unless approved in advance, please do not bring alcoholic beverages onsite. BRINGING YOUR OWN ALCOHOL IS NOT ALLOWED.
(b) All glass containers are prohibited with the exception of wine bottles. Beer bottles are prohibited!
(c) Smoking is not permitted inside or within 10 meters of any entrances outside the building. This includes all tobacco, e-cigarettes AND vapes etc.
Section III.04 CAPACITY
(a) Boardroom cannot exceed a limit of 40 (Standing Guest, not tables in room, ‘Event Setting”) set forth by the Fire Marshal.
(b) Boardroom cannot exceed a limit of 20 (Guest, with Boardroom tables in room) set forth by the Fire Marshal.
Section III.05 SECURITY
(a) The Applicant must be 18 years or older.
(b) Minor children (0-17 years of age) must be supervised by one adult for every 10 minor children. Consultancy House staff will not be held responsible for the supervision of minor children.
(c) The door key and security access information should be secured from the receptionist 1 day prior to or the day of the booking, and should be returned by the morning following the booking.
IMPORTANT: The building must be secure at all times. Applicant are required to have an attendant at the door while the door is unlocked after Consultancy House office hours or doors kept locked. Do not leave the main door propped open at any time. This will eliminate the problem of individuals entering who are not a part of the team/meeting/booking.
(d) Failure to obey and respect any of Consultancy House policies and procedures may result in termination of applicants’ contract. Consultancy House reserves the right to seek financial compensation for any damages or loss due to breach of policies and procedures.
Section III.06 DAMAGES
(a) Charges for damages will be based on total replacement costs or total repair costs.
(b) Applicants will be expected to cover all repairs and full replacement costs of any damages to the facility itself and or the contents of such.
(c) The applicant agrees to assume all liability regarding the actions of his/her guests.
(d) Applicant or group associated with applicant using the facility are liable for any damages to or misuse of the building, furnishings, or equipment.
(e) Applicants are responsible for any damage to the facilities and/or contents and fixtures.
(f) All damages must be reported to the Consultancy House staff immediately.
(g) If deposit is in the form of a check, which does not cover the full amount of the damage, applicant will be responsible for paying the difference to Consultancy House.
Section III.08 ADVERTISING
(a) Disclaimer for booked spaces:
(i) Consultancy House does not endorse any goods or services, nor does it make representation as to the accuracy of the
information. Further, it assumes no liability for the quality or safety of any goods or services which may be the subject of space
(ii) In any and all promotions and communications regarding applicant company’s meeting/event, Consultancy House name is only to be used as the meeting location. Any request for Consultancy House to support, promote, or sponsor or endorse applicants' meeting/event must first be approved in writing by Consultancy House Directors.
(iii) Any promotion or sales of products or services during applicants' meeting must first be approved by the Consultancy House Administrator.
(iv) Any invitation extended to the news media to cover applicants' meeting/event at Consultancy House, must first be put in writing, and approved by the Consultancy House Directors.
(v) Failing to adhere to ‘Consultancy House Rental Policy’ and contracts will jeopardize future access to the Facilities.
Article IV. LIABILITIES AND DISCLAIMERS
Section IV.01 PERSONAL BELONGINGS
(a) Consultancy House will not be responsible or held liable for lost or damaged items that are left in the building. Consultancy House assumes no responsibility for personal belongings.
(b) Equipment, supplies, or other products belonging to applicant or group associated with applicant may not be stored in the Facility (boardroom, kitchen, offices, basement or any other common spaces) or on Consultancy House grounds, prior to or after the booking, unless given specific approval.
Section IV.02 LOSS
(a) Applicant agrees to indemnify Consultancy House against any and all liability for any loss, injury, death, or damages (“Loss”) to persons or property which at any time may be suffered or sustained by the Applicant or any of his or her agents, employees, visitors, guests, invitees, and contractors (collectively, “Indemnitor”) relating to the use or occupancy of the board room, shared
office or private office, whether such Loss is caused by or in any way results or arises out of any act, omission, or negligence of Indemnitor or of any occupant, licensee loss.
(b) To the extent permitted by the law, Indemnitor shall indemnify and hold harmless Consultancy House and its officers, directors, beneficiaries, partners, agents, volunteers and employees from and against all fines, suits, damages, losses and actions (including attorney’s fees) arising out of, or relating to, all acts, failures, omissions, and negligence of Indemnitee arising out of, or in any
way relating to Indemnitor’s use of the board room, shared office or private office. This indemnification shall apply both to claims of third parties and to claims of the Indemnitor.
